Background

The State Bar of Georgia supports and regulates the legal profession throughout the state. In addition to managing membership for thousands of attorneys, the organization provides continuing legal education, supports law practices, oversees lawyer discipline and arbitration programs and conducts educational outreach initiatives.

To support these operations, the State Bar manages a wide range of assets across multiple locations, including computers, monitors, furniture, conference center equipment, tables, chairs, kitchen equipment and storage facilities. As the organization continued modernizing its asset management process, maintaining accurate records became increasingly important.

Opportunity

The State Bar was transitioning from tracking assets in spreadsheets to managing them within its Sage Intacct accounting system. With assets spread across six floors, multiple offices, conference facilities, storage areas and remote locations, maintaining visibility into equipment and furnishings had become a significant challenge.

According to Marsha Sinyard, Senior Accountant for the State Bar of Georgia, “With that many people, it gets really hard to keep track of your assets.”

The organization needed a durable identification solution that could help employees accurately track assets as they moved between departments, offices and storage locations while supporting future barcode scanning initiatives.

Solution

After discovering existing Metalcraft asset tags already being used within the organization, the State Bar partnered with Metalcraft to implement serialized metal barcode asset tags across a variety of assets. The tags were customized with the State Bar’s logo, asset numbers and barcodes, creating a standardized identification system that could integrate with existing accounting processes.

Durability was a key requirement. Assets were located in a variety of environments, including climate-controlled offices, conference facilities, server rooms, storage areas and damp basement spaces. The organization needed tags that would remain securely attached and readable over time.

“We knew we didn’t want a plastic or a paper type label,” said Sinyard. “Those things just start peeling up on the edges.”

Metalcraft’s metal barcode asset tags provided the durability and customization needed while also supporting future barcode scanning capabilities.

Result

The State Bar has already seen positive results, using the tags to create a more organized and structured approach to asset management while improving visibility across the organization.

“Everything seems to be holding up great,” said Sinyard. “They seem like they’re going to do exactly what we want them to do.”

The organization expects the tags to make it easier to track assets, manage disposals and maintain accurate records. Sinyard said that the system will help the State Bar to keep track of things better while reducing uncertainty around asset locations and status.

Beyond the product itself, the State Bar appreciated Metalcraft’s support throughout the process. “Becky (Palmer) was great,” said Sinyard. “She gave us everything we asked for and flowed with me through the whole process.”

As the State Bar continues expanding its asset management program, durable asset identification will help improve organization, efficiency and accountability across the organization.
